We are looking for an organised and enthusiastic Office Administrator to provide exceptional front-of-house and administrative support, ensuring the smooth running of our busy charity office and helping us deliver outstanding experiences for our supporters, visitors, and colleagues.
Position: Office Administrator
Location: Cambridge (office-based)
Salary: Circa £26,000 per annum (pro rata for part-time hours)
Hours: Full-time, 37.5 hours per week (flexible working patterns considered)
Contract: Permanent

About the role:
As our Office Administrator, you’ll be the first point of contact for supporters and visitors, offering a warm and professional welcome. You’ll play a key role in supporting our fundraising and operations teams, handling enquiries, managing donations, maintaining records, and ensuring our office runs efficiently and professionally.
This is a fantastic opportunity to work at the heart of a dynamic and ambitious charity that’s funding vital projects such as the new Cambridge Cancer Research Hospital and Cambridge Children’s Hospital.
About you:
You’ll be a confident communicator with a friendly and empathetic approach, comfortable managing multiple priorities and providing excellent customer service. Highly organised with great attention to detail, you’ll enjoy supporting colleagues across departments and helping to deliver smooth and effective administrative processes.
Previous experience in an administrative or front-of-house role would be beneficial, but a positive attitude, excellent organisational skills, and a commitment to our mission are what really matter.
Key Responsibilities:
- Provide a warm and professional welcome to visitors, supporters, and callers.
- Handle general enquiries by phone and email, directing messages appropriately.
- Support the wider fundraising team with administrative tasks, such as sending thank you letters, preparing fundraising packs, and updating supporter records.
- Maintain office systems and supplies, ensuring efficient processes and a tidy, welcoming environment.
- Distribute incoming and outgoing post, scan and file documents, and assist with financial and data administration.
- Contribute ideas for improving office systems and supporter processes.
Essential Skills & Experience:
- Good standard of education (GCSE English and Maths A–C or equivalent).
- Strong communication and interpersonal skills, both written and verbal.
- Excellent organisational skills with attention to detail.
- Proficient in Microsoft Word, Excel, and Outlook.
- Ability to work independently and manage multiple priorities.
- Accurate data entry and record-keeping skills.
Desirable:
- Experience in an administrative or front-of-house role.
- Customer service experience, ideally in a charity or not-for-profit environment.
